Overview
In SDX, reports can be automatically generated and emailed manually or based on a predetermined schedule. This allows users to set up reports that can be emailed to customers or to users. The setup involves:
- Configuring the Email settings on the server
- Setting up email addresses for the customers or users that will receive the reports
- Saving a template of the parameters for the desired report
- Setting up a Batch Report Email
- Sending the reports manually (optional)
- Setting up the task scheduler to run the reports automatically (optional)
1. Configuring the Email settings on the server
In System Configuration->System Settings find the Email Settings. If the settings are blank, contact our help desk to have this configured.
2. Adding/editing email addresses for Users and/or Customers
For users, go to Admin->Users. Click Show All and select the pencil next to the user's name. On the Edit User screen, click on Email and enter one or more email addresses.
For Customers, go to Back Office->Master Files->Customers. Select the customer to edit. On the General Tab, click on the pencil next to @ Email and enter one or more email addresses.
3. Saving the report template
In legacy Reports only, choose the desired report. Enter the parameters for the report and click on Save Template, Give the template a descriptive name. Do this for any report that needs to be run in the batch. BI reports cannot be run in a batch. Templates are useful for saving parameters of reports that are run frequently, whether they are going to be used in a batch or not. It may be necessary to use 'All Dates' for the date parameter.
4. Setting up the Batch Report Email
From User Menu->Batch Report Email select an existing batch and click Edit, or click Add to create a new batch. Give the batch a descriptive name, enter the Subject line for the email and the text for the body of the email. Choose a quick date range for the report. Click or Report Template to choose one or more templates to run in the batch. Click on Email Lists to select one or more Email Lists to send the report to. Each Email List will contain one or more email addresses. Click on the Plus to create a new Email List. Give the Email List a descriptive name and optional description. To add destination emails, select the magnifying glass next to the To and search for available emails. Click on CC & BCC to add email addresses to show on the CC & BCC lines of the email. Select the Email Lists and Accept. Save and Close.
5. Sending the Batch Report Email Manually (optional)
From User Menu->Batch Report Email double click on an existing Batch Report Email or select and click Edit. Click on Send Email.
6. Setting up to send the Batch Report Email automatically on schedule. (optional)
Before the Batch Report Email can be set up to send automatically, the ScrapDragonReportGenerator.Console.exe and associated DLL's must be installed and configured. Contact our Help Desk if this has not been installed on the server.
Create a task in Windows task scheduler to run the ScrapDragonReportGenerator.Console.exe which is found in the folder with the shared client.
